Hey, it’s a new privacy policy. We’re explaining how we, NorthFur FX, a general partnership operated by Jason Harrison and Mark Plozzer, from Deep River, Ontario, Canada, will obtain, use, share, store, and delete your data.
‘We’, refers to us, NorthFur FX, Jason Harrison and Mark Plozzer. ‘You’ and “your” refers to our users and customers, the people reading this long boring document.
Your Personal information and How It’s Collected
We collect personal information about you. It’s a necessity in order to transact business.
Through the use of our website, you can create an account. We will only collect the information you provide when you create this account. This information includes things like your name, address, telephone number, birthdate, e-mail address and IP address.
We do not buy or obtain your data or information about you by any other means or 3rd parties. We keep only the data you willfully give us.
How We Use Your Data
When you create an account we will collect your name, address, e-mail address, phone number, birthday, and IP address.
The birthday is to ensure you’re over the age of 18, which is easy to circumvent and is disregarded; another built-in function of Prestashop. We do not use it for marketing or share this data at all.
All website functions such as account creation, browsing and order placing will log your IP address and create a cookie in your browser. Cookies are pieces of information that your browser stores on your computer's hard drive which identify you when you enter. The ability to select samples on our site is cookie-driven. We may use session cookies to provide a seamless experience on the site and to combine with our log files so that we can understand our site traffic and analyze our demographic information in aggregate form. If you have set your browser to reject cookies, our site will not identify you when you enter and you will need to manually type in your ID and password. We do not monitor the external site you enter ours from or which external website you exit to. We use your IP address if we’re troubleshooting website issues with you as we can see limited information from our admin controls. Your IP address also tells us which countries are the most active users of our site, though this is partly useless as bots and search engine crawlers will tend to skew these results. We do not use it for marketing or share this data at all.
Your name and address are used on paper invoices sent in packages and accounting records in Quickbooks stored on our home PC. We are required by the Canada Revenue Agency, CRA, to keep these records for 7 fiscal years in case of audit. If we are ever fully audited, we will need to disclose this information to the Canadian government.
Your name, address, phone number, e-mail address and IP address are used for the electronic record of your order which is automatically generated when you check out through our site. Again, we are required by the CRA to keep these records for 7 fiscal years in case of audit. If we are ever fully audited, we will need to disclose this information to the Canadian government.
Your first name is used on the 3rd party platform of Trello, a site where we keep an active queue of all orders with photos of progression of your order. No other data about you is used on Trello. It is simply used to help us organize your orders. Your name would appear on Trello as “Jason” or “Mark” with an order number. No other data is given to them.
Your name, address, phone number and e-mail address are provided to the 3rd party platforms of our couriers: Canada Post and rarely, FedEx and UPS. We have to provide your information to these parties in order to create shipping labels to ship your order… they need to know where to send it after all. Canada Post, FedEx and UPS require a telephone number and e-mail address for creating customs invoices and declarations. This information is often printed on shipping labels so that your country’s customs may be able to quickly contact you when your order is being imported into your country if it needs to be assessed any duties or taxes.
Your name, address, phone number and e-mail address are also provided to the 3rd party platforms of our payment processors: Square. We have to provide them with your information in order to verify your identity, to prevent fraud, and to process your payment for your orders.
We do not store any credit card or bank account information. We do not have access to your credit card or bank account information.
We do not sell any of your data. We do not use your data for marketing or advertising.
We do not send out advertisements, marketing e-mails, or newsletters.
We will send out limited e-mails. First, one is automatically generated when you create an account as a way to verify your e-mail address. Second, one is automatically generated when you place an order to serve as an immediate receipt of your order. Lastly, a manual e-mail is sent out when we ship your order to notify you when it was sent, what service was used and if there’s any tracking number for your order.
We will contact you by email or by phone if we need clarification about your order or if we encounter a problem with your order or account.
How we store your data
We store your data on our website, and on our PC.
Our website is secure. It uses 128-bit encryption SSL certificates, hidden directories and rotates strong admin passwords every 90 days. Our server is located in Canada.
Our PC is in our home, here in Canada, and is password protected. We do not use cloud storage services, we do not even have a backup.
In case of a data breach, we will notify you within 48 hours. Again, no financial information is ever stored on our server or home PC.
Accessing your data
You can access your data by logging into our website and viewing your account. You see the same data that we see. We can provide copies of your order if needed from our website or Quickbooks records. If you would like us to delete your data, contact us and we can delete your account from our website within 48 hours. We must keep records of your orders going back 7 fiscal years for auditing purposes with the Canadian Government.
Data retention
We will store all data on orders for the past 7 fiscal years. This is necessary in case of audit by the Canada Revenue Agency, CRA.
We will delete all data on orders older than 7 fiscal years.
We will delete customer account data if: 1. no orders have been placed within the past 5 years or 2. a zero-order account hasn’t placed their first order within 1 year of being created. We will check for and delete this data quarterly.
We will delete all customer account data upon request.
Legal Disclaimer
Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our Web site
